YOUR RESPONSIBILITIES AS PAYROLL & HR ADMINISTRATOR:
* Assist the HR Manager with conducting the Full-cycle Recruit process including the strict security clearance fulfillment with the Government of Canada, creating necessary documents and ensuring efficient follow up in the onboarding process
* Maintain and provide updated HR and recruitment metrics report to the HR Manager on a monthly basis for reference on external postings and applicant stats, turnover etc.
* Maintain open door policy to employees, assisting with directing the employees to the proper Business Partner (Payroll or HR)
* Maintain hard copy and e-copies of employee files/documents.
* Learn and manage the Public Works compliance process for the company security clearance requirements as defined under government contracts.
* Maintain external contacts list, building external relationships in the Indigenous community, keeping current on community matters directly impacting FCH employees.
* Schedule ERG meetings and workshops and training sessions and arrange with property services to secure and book training space.
* Assist HR Director with developing training modules for employees with Indigenous cultural awareness, building in house skills development
* Participate and keep minutes in corporate meetings including Health and Safety meetings.
* Monitor external Indigenous Association websites to find supports and sessions to share with the employees through staff group email and on FCH social media site.
* Represent the company along with HR and Payroll/Finance at community events to build the rapport and build the business.
* Participate in HR projects (e.g. help organize a job fair event, support admin for RFP’s)
* Learn the Payroll system to support the Payroll Leaders and utilize the HR/Finance platform for reporting and analytics
* Assist with Financial reporting and filings as requested
WHAT WE’RE LOOKING FOR IN A PAYROLL & HR ADMINISTRATOR:
* Strong phone, email and in-person communication skills
* Awareness of Indigenous Culture and knowledge of the communities
* Business Diploma in Human Resources or relevant field considered an asset, however, equivalent work and aptitude experience considered on par.
* Proven work experience as an Administrator, HR Administrative Assistant or relevant role
* Experience with HR software, like HRIS or HRMS would be an asset
* Computer literacy (MS Office applications, in particular)
* Knowledge of labor laws as they apply to both HR and Payroll considered an asset
* Excellent organizational skills, with an ability to prioritize important projects
